Welcome to Chatly. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website and use our application, and tell you about your privacy rights and how the law protects you.

1. The data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

  • Identity Data includes first name, last name, username or similar identifier.
  • Contact Data includes email address and telephone numbers.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location.
  • Integration Data includes data accessed via authorized third-party services like Google Drive and Google Sheets, strictly limited to the permissions you grant.

2. How we use your personal data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you (e.g., providing bot automation services).
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
  • Where we need to comply with a legal or regulatory obligation.

3. Google Workspace APIs

Our application, chatlyltd.duckdns.org, requests access to certain Google Workspace APIs (like Google Drive and Google Sheets). Our use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

4. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.

5. Sharing and Disclosure of Google User Data

We only share, transfer, or disclose Google user data (such as files from Google Drive or Sheets) with the following third-party service providers that are essential for delivering the Chatly service:

  • AI/LLM API Providers: For example, OpenAI or similar large language model platforms that power the AI bot. These providers process user queries to generate responses and are bound by strict data processing agreements.

We do not sell Google user data. We do not share it with any third party for their own independent marketing or advertising purposes. If disclosure is required by law, we will comply only to the extent necessary.

6. Data Retention and Deletion

We retain Google user data only as long as necessary to provide the Chatly service and fulfill the purposes described in this policy. Specifically:

  • Active usage: Data is kept while your integration is active and you continue using our application.
  • After disconnection: When you revoke Chatly's access via your Google Account permissions, we automatically delete the associated Google user data from our systems within 30 days.
  • Manual deletion: You can request immediate deletion of your data at any time by contacting support@chatly.com. We will respond without undue delay, typically within 30 days.
  • Legal holds: In rare cases, we may need to retain data longer to comply with legal obligations, resolve disputes, or enforce our terms.
